Privacy Policy

This Privacy Policy explains how JTC Education FZ LLC ("JTC Education", "we", "us", "our") collects, uses, stores and protects personal information through our website and the JTC Education mobile/web App ("App"). By using our services, creating an account or booking lessons, you agree to the practices described in this Policy. If you do not agree, please do not use our services or provide personal information to us.

Information we collect

We collect information that you provide when you create or access an account (Parent or Student), browse our website, use the App, book lessons, make payments, or communicate with us. This may include your name, email address, phone number, hashed password, lesson requests, booking details, communication history and any information you provide regarding your child's educational needs. If you are a Student, we may also collect your date of birth, school, curriculum, and any study preferences you provide.

If you are a Tutor, we collect information required to onboard you and process payments, including your name, address, bank details, lesson availability, meeting link and professional background.

When you use our website or App, we automatically receive technical information such as your device type, operating system, IP address, unique device identifiers, crash logs and diagnostic data. This helps us operate, secure and improve our services.

When making payments, your card details are processed directly by our payment provider, Stripe. JTC Education does not store full card numbers on its servers. Where you authorise future or recurring payments, your card details are securely stored by Stripe on its own systems in accordance with their security standards. Stripe provides us with information about your payment status but not your full card details.

We may also collect profile photos when you grant the App permission to access your camera or photo library.

How we use your information

We use personal information to create and maintain accounts, manage linked Parent/Student profiles, schedule and deliver lessons, provide follow-up notes, and support communication between families, Tutors and our team. Information also helps us personalise your experience, process payments, issue invoices and refunds, and maintain accurate lesson records.

We use technical and usage information to keep the App functioning securely, troubleshoot issues, prevent fraud, and improve performance. We may also send you updates about services, policies and operational matters such as schedule changes or billing notifications. Where permitted by law, we may also send marketing communications. You may opt out of marketing messages at any time.

If you contact our support team, we use the information you provide to resolve your enquiry.

We process personal information only where permitted by law. This includes processing that is necessary for the performance of a contract, compliance with legal obligations, our legitimate interests (such as service improvement and fraud prevention), or where you have given consent.

Some of the information you share with us — such as medical notes provided for cancellations, or information about your child's learning needs — may include health-related data, which is treated as a special category under data protection law. We collect and use this information only for the specific purpose for which you provide it (for example, to administer a cancellation or to support a student's learning), and only where you have given explicit consent or where it is otherwise permitted by law. We do not share the details of any health-related information more widely than is necessary for that purpose; tutors are given only the information they need to support the student.

How we share information

We share your information only when required to provide our services. This includes sharing Parent/Student lesson requests and essential contact information with Tutors you choose to work with. Tutor profiles may also be visible to prospective families.

We share payment information with Stripe for secure processing, and technical data with our hosting provider (Amazon Web Services). Both act as trusted service providers under strict data protection obligations.

Where you communicate with us via WhatsApp (a service provided by Meta), some metadata associated with that communication may be shared with Meta in line with their own privacy practices.

We do not sell personal information. If JTC Education is ever involved in a merger or business transfer, user information may be transferred as part of that transaction.

We may disclose information when required by law, including court orders, government requests or safeguarding concerns, or when necessary to prevent fraud, security risks or harm.

Storage and security

Your data is stored on secure servers, primarily hosted by Amazon Web Services. We implement technical and organisational measures such as encrypted connections, firewalls, access controls and continuous monitoring to protect your information. Although we take reasonable steps to safeguard data, no system can guarantee absolute security.

We retain personal information only for as long as needed to deliver our services, meet legal obligations or resolve disputes. For example, account and billing records may be retained for statutory accounting periods, while inactive user accounts may be deleted or anonymised after a period of inactivity. Data no longer required is deleted or anonymised.

In the event of a data breach affecting your personal information, we will notify the relevant authorities and affected users as required by applicable data protection laws.

Stored payment methods

If you have stored a payment method on your account, JTC Education retains the token referencing that payment method for up to 12 months after your last billing activity, to facilitate the resumption of lessons should you return. After this period, the payment method is automatically detached from your account. You may request immediate removal of your stored payment method at any time via the App or by contacting JTC Education directly. The underlying card data is held by our payment provider (Stripe) and is subject to their own retention and deletion practices.

International transfers

Because our infrastructure and service providers may be located outside your country of residence, your information may be transferred across borders. By using our services, you consent to this international transfer. All transfers comply with applicable data protection laws.

Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or the UK International Data Transfer Agreement to protect your data during international transfers.

Users in the EU/EEA and UK

If you are located in the EU, EEA or UK, JTC Education FZ LLC is the Data Controller for your information. Tutors act as independent data controllers in relation to lesson delivery and student feedback, and as data processors where they access information through our platform.

You have rights under GDPR, including the right to access, correct, delete or restrict your information, the right to receive your data in a structured, machine-readable format (data portability), the right to object to processing in certain circumstances, and the right to withdraw consent where processing is based on consent. You also have the right to lodge a complaint with your local data protection authority (such as the Information Commissioner's Office in the UK) if you believe your rights have been breached.

Children's use of the app

For the purposes of this Policy, a "minor" means any individual under the age of 18. Minors may use the App only through a Student account that is linked to and supervised by a Parent or Guardian account. We do not knowingly allow a minor to create an independent account or provide personal information to us without Parent/Guardian involvement.

Where a Student is below the digital age of consent that applies in their country (for example, 13 in the United Kingdom, and between 13 and 16 across the EU/EEA), the Parent or Guardian provides and manages consent on the minor's behalf. By creating and supervising a Student account, the Parent or Guardian confirms that they hold parental responsibility for the minor and consent to our processing of the minor's information as described in this Policy.

Your rights and choices

You may request access to the personal information we hold about you, ask us to correct inaccurate information, delete your account, receive your data in a portable format, or withdraw consent where applicable. You may also request restrictions on certain processing activities. We may ask for proof of identity before responding to such requests.

We will respond to your requests within one month, in line with applicable data protection laws.

Cookies and similar technologies

We use cookies and similar technologies (including browser local storage) to run the site, protect our forms from spam, and — with your consent — to understand how visitors use the site through Google Analytics and Microsoft Clarity. Optional cookies are governed by Google Consent Mode and are not set until you accept them.

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements or data practices. Significant updates will be communicated through the App or via email.
